Assist Commercial Events Manager in running “Learn and Thrive Program” for both DCSZ & DHSZ.
Our School
Dulwich International High School Programme Suzhou was the sixth school to join the Dulwich College International family of schools in 2012. We are made up of over 700 students from ages 14 to 19. Although our student body is predominantly Chinese, we are open to all nationalities and have a particularly diverse faculty from over 20 countries. The 56 classrooms include custom designed science labs, a library, a black box theatre, music practice rooms, sport fields, a roof garden and a medical centre. Requirement
- Bachelor degree or above.
- 2-3 years related working experiences in administration and event coordination.
- Strong capability in data analysis and report writing;
- Good time management and organizational skills.
- Good communication skills, proven ability to communicate effectively with different types of people and in cross- culture environment
- Good interpersonal skills and have the ability to build and maintain harmonious relationships with various stakeholder.
- Project management skills with strong attention to detail.
- Strong sense of responsibility and work under pressure, able to handle multiple task simultaneously.
- Good command of English skills, both in written and spoke
Good command of computer skills, including proficiency in Microsoft Word, Excel, PowerPoint etc.
Responsibilities
The duties of Commercial Events Officer at DCSZ &DHSZ are as follows:
• Assist the running of various camps, activities, and programs during non-school hours.
• Assist with routine telemarketing activities to identify new business opportunities.
• Manage the out of school hours facilities room booking system.
• Assist with various monthly and quarterly report.
• Maintains complete and supported records of all Program Agreements, Contracts and Quotations for the College.
• Handle customer enquiries in a friendly and welcoming manner regarding the Program in person/email/phone.
• Maintains a detailed knowledge of School facilities, features and services.
• Meets and greets VIP clients upon arrival/ departure.
• Ensure parents and instructors are informed of cancellations/make-up classes/changes in schedules.
• Liaise with relevant stakeholders regarding DCSZ and DHSZ students signed up for the Program.
• Ensure smooth handling and daily filing of administration of contracts, payments, bank accounts, fapiaos, invoices, applying for sealing of contracts, filling in payment requests etc. for all DCSZ/DHSZ/LTP Instructors and outside instructors/company representatives
• Keep track of all payments and expenses. Assist Commercial Events Manager on
– Collection of online registration forms and payment, tracking of paid participants, track refunds and credits
– Handle and track refund and credits
– Input of online registrations; keeping up to date sign-up lists in sharepoint
– Use of yoopay (or other online payment/registration system)
• Support school events when necessary.
• Ensure that safeguarding, health and safety, and all other College policies are known, understood and embedded into practice
• Carry out any other related tasks that may be required from time to time
