KEY RESPONSIBILITIES:

Employee relationships

•Be responsible for the contract communication with the new hires.

•Support with the relocation of expat staff, including flights, airport pick-up, hotel booking, medical examination and housing.

•Support expat staff living in Chengdu, including housing fapiao issue, water fee top-up, etc.

•Lead the onboarding and induction process, including preparing contracts and guiding employees through the induction process.

•Lead the exit process, including preparing releasing letters, reference letter for visa purposes, school accounts and benefits cancellation,etc.

•Ensure a seamless onboarding experience for new hires, providing necessary information and support.

•Collaborate with relevant stakeholders to ensure all onboarding requirements are met.

•Implement and enforce the probation and appraisal policy across the entire school.

•Timely alert line managers and employees to set targets for the probation and appraisal period.

•Keep track of all probation and appraisal periods and provide necessary support and guidance.

•Issue various staff letters, including employment letters, income letters, and termination of contract letters.

•Ensure accuracy and compliance with relevant policies and regulations.

•Ensure the systematic and organized maintenance of staff information, including accurate records, in a centralized database or system.

•Update contract renewal information annually and coordinate the renewal process with department heads.

•Ensure timely communication and documentation related to contract renewals.

•Collaborate with relevant stakeholders to facilitate a smooth renewal process.

•Manage contract changes and stay updated on employee contract amendments.

•Facilitate the promotion and demotion process, ensuring proper documentation and communication has been evidenced.

•Closely monitor staff attendance and analyze leave trends through WeCom system sent through reports if anything has been flagged.

•Ensure compliance with leave policies and regulations.

•Promote a positive work environment by helping organize employee engagement activities and initiatives.

•Support with the staff appreciation/welfare/care.

•Provide reports and analysis to line managers such as the turnover rate, employee diversity and inclusion, enabling informed decision-making.

•Provide support to staff regarding school policies, explaining them and addressing any inquiries or concerns.

•Support with employee development process and training.

Benefits and Compensation(B&C)

•Administer comprehensive employee benefits programs, including health insurance, housing fund, commercial insurance, and other provided benefits for both Chinese and expat staff.

•Ensure timely execution of the annual benefits plan renewal and conduct feedback checks before finalizing the renewal.

•Prepare accurate and timely monthly payroll, ensuring employee compensation is processed correctly.

•Monitor and verify the accuracy of monthly Chinese staff housing fund and social insurance numbers, ensuring alignment with government systems.

•Stay informed about annual social insurance index updates issued by the government, ensuring Chinese employees comply with the minimum and maximum contribution limits.

•Attend relevant training sessions provided by the government regarding social insurance and housing fund policies.

Visa

•Execute work visa application and renewal process, ensuring compliance with local exit and entry laws and regulations, for new and existing staff.

•Liaise with relevant authorities to gather necessary documentation and information for visa applications.

•Keep up to date with changes in visa requirements and communicate updates to employees and management.

•Provide guidance and support to employees regarding visa-related inquiries and issues.

•Maintain accurate records and documentation related to visa processes.

QUALIFICATIONS:

•Educated to an appropriate academic level i.e. bachelor’s degree in business administration, Human Resource Management or similar.

•Proficient in oral and written Chinese and English.

•3 years of proven experience in HR roles, with a focus on visa management, staff relations, and benefits and compensation, ideally in an international environment within the education sector.

•Excellent communication and interpersonal skills.

•Ability to handle sensitive and confidential information appropriately.

•Strong initiative and solid judgement ability / skills.

•Ability to quickly assimilate technical information.

•Technical proficiency with MS Office including Outlook, MSTEAMs, Excel, PowerPoint Word and experience of using HRMIS system.
