OBJECTIVES:

The Receptionist serves as a first point of contact for students, parents, staff and visitors to the School. The main responsibilities include managing the front office, greeting visitors, answering phone calls, handling inquiries and performing various administrative tasks to ensure a smooth and welcoming environment for all stakeholders.

START TIME: As soon as possible

KEY RESPONSIBILITIES:

Front Office Management:

1. Greet and assist visitors, students, and parents in a professional and friendly manner.

2. Maintain correct attendance records using Manage Bac to effectively record data.

3. Receive and pass on deliveries to students where required.

4. Maintain a tidy, welcoming and organised reception area, including lost/found area.

5. Direct visitors to appropriate staff members or locations within the school in accordance with safeguarding regulations.

 

Communication:

1. Answer, screen, and forward incoming phone calls promptly and efficiently.

2. Update relevant staff members regarding attendance, including copying the Principal into any absence leave requests.

3. Manage Email communication and respond to general stakeholder queries.

4. Take and relay messages accurately.

 

Administrative Support:

1. Assist attendance records and tracking and lateness or early release.

2. Handle all early dismissal forms, ensuring the correct procedure is followed.

3. Handling incoming mail and packages.

4. Provide clerical support to school administrators including typing, filling, copying, and data entry.

5. Assist with the scheduling of meetings and appointments.

Record Keeping:

1. Maintain relevant records, visitor logs and other necessary documentation.

2. Update school databases and directories as required.

 

Event Coordination:

1. Assist Marketing and Admissions Team with the planning and execution of school events, including parent-teacher meetings, open days and any special functions.

2. Help to prepare event materials such as signage, agenda and registration forms.

Emergency Preparation:

1. Familiar with emergency procedures and protocols.

2. Assist in implementing emergency plans during drills or actual emergencies.

 

Additional Tasks:

1. Perform other duties as assigned by the Director of Marketing and Admissions or the School Principal.

Participate in ongoing training and development to enhance skills and knowledge.

PERSON SPECIFICATION:

Qualifications

•Bachelor’s degree in a related field.

Languages

•Fluent spoken and written Chinese and English.

Working Experience

•Experience of working in an international educational setting preferred.

•Knowledge of the UK education system.
